Input outstanding checks from a legacy system into Dynamics NAV 2015

This blog was created to assist clients new to Microsoft Dynamics NAV.  The instructions below are used simply to load the bank sub ledger and does not address the G/L Balances.

Outstanding Checks

1. Go to the Financial Management > Payables > Payment Journal

2. Enter the following as shown below:

  1. Posting Date = Check Date

  2. Document Type = Payment

  3. Bank Payment Type = Manual Check

  4. Document No. = Check Number

  5. Account Type = Bank Account

  6. Account No. = Bank Account number

  7. Description = Defaults with Bank Name or you can enter in the Payee name.

  8. Amount = Enter Check Amount as negative

  9. Bal. Account Type = G/L Account

  10. Bal. Account No. = G/L Account that the selected Bank Account uses to post

3. In this example, you may have noticed that they are running an add-on called Easy Security Light.  If you are not running this add-on, simply navigate to the Search Box, and type in ‘User Setup’.

4. You will need to open up your posting dates before you can post these outstanding checks. Find your User ID and update the ‘Allow Posting From’ and ‘Allow Posting To’ fields to include the date of the earliest outstanding check.

Please remember to change these dates back after posting to prevent postings in the wrong period.

NOTE! If for any reason one of these checks needs to be voided, you will have to void the check and then manually make an entry to the Bank G/L account and the offsetting expense account where the check was originally applied.
